Accuracy of Event Details
You should fill in all the information on the Details page of your event or mailing correctly because this will help Paperless Post provide your recipients with accurate information on who is inviting them, what the event is, when it will take place, etc.
Requesting an RSVP from your guests
- Go to the Details page of your event or mailing.
- Change the first drop-down menu ("This is:") to "An Invitation Requesting and RSVPs."
- You can then choose if you would like your guests to be able to view the entire guest list or parts of the guest list and any comments others have left.
Creating an event or mailing that does not request an RSVP
- Go to the Details page of the event or mailing.
- Change the first drop-down menu ("This is:") to "An Announcement" or "A Save the Date."
Changing the subject and from lines of the emails your recipients receive
- Go to the Details page of your event or mailing.
- Edit the fields titled "From" and "Subject" under Email Display. The subject line is also the title of the event or mailing that your recipients will see on the RSVP or reply page.
Changing the date, time, and/or location of an event
- Go to the Details page of your event.
- Edit the fields titled Event Date, Event Time, and/or Address under "Information to Add to Guest's Calendar & Reminder."
- Go to the Design page to enter the design tool, and select the "Wording and Style" tab. Edit the date, time, and/or location directly on the card by clicking on the paper itself and typing.
Guest list privacy settings
For Invitations requesting RSVP's, you can choose whether or not to allow your guests to see the list of invitees. All other types of mailings (such as announcements and save the dates) will always have a private recipient list, and this option cannot be changed.
A private guest list means that no one will be able to see the list of invitees. A public guest list will display your guests' names, RSVP statuses, and comments. Your guests' email addresses will never be public. In the case that guests have not yet entered their names to RSVP, they will not appear on the public list at all.
The guest list is always automatically set to private. To make the guest list public, do the following:
- Go to the Details page of your event.
- Scroll down to Step 4 / RSVP Details.
- Use the radio buttons to change the Guest List Privacy option from Private to Public.
- Checkboxes with additional options will appear for you to further determine what guests are and are not allowed to see.
- Press the "Save & Next" or "Done" button to save any changes.
Changing the Total Invited number per guest
When RSVP'ing, your guest will be able to select from a drop-down menu how many people will be attending in his or her party. To set what this number is, do the following:
- Go to the Details page of your event.
- Under "RSVP Details," change the drop-down menu called "Guests can bring:" to the number of additional people you want to allow each guest to bring.
- If "No Guests" is selected, your guests will not be able to RSVP as more than 1 person unless you have specified otherwise on the Delivery or Tracking page (directions to change the Total Invited number for one guest without affecting the other guests can be found here).
Is my guest list public? Will the email addresses of my guests also be public?
No. For all mailings, the guest/recipient list will always be set to private. For Invitations requesting RSVP's, you can choose whether or not to allow your guests to see the list of invitees. Yes; you can set the "Guests can bring" number on the Details page of your event, but if you would like to allow a different Total Invited number for specific guests, follow these directions:
- Go to the Delivery page of your event, and click the name of the guest whose Total Invited number you would like to change. Information will drop down below his or her name.
- Adjust the Total Invited drop-down menu to reflect your desired changes.
- Remember to click the Save button for each guest you update.
Providing your recipients with additional information regarding your event or mailing
- Go to the Details page of the event or mailing.
- You will see a text box entitled "Note to Guests above the RSVP" or "Note to Recipients on the Next Page." Place any additional information for your recipients here and they will see it above the response card after clicking on your invitation or card.
- URLs and email addresses that are placed in this area will be automatically hyperlinked. There is no limit to how much text can be placed in this area.
Can I manually change my guests' RSVP status or total attending number?
Yes; here are the steps to manually update a guest's RSVP status and/or total attending number:
- Go to the Tracking page of your event, and click the name of the guest whose RSVP information you would like to change. Information will drop down below his or her name.
- Adjust the Guest Status drop-down menu and/or the Total Invited drop-down menu to reflect your desired changes.
- Remember to click the Save button for each guest you update.
How do I put an active, or live, link on my invitation/card?
Links typed directly on an invitation or card cannot be made active, or live, since clicking anywhere on the paper will bring your recipient to the reply page to either RSVP or leave a comment. Links (and email addresses) placed on the reply page itself will automatically be made active.
To insert links or email addresses on your reply page, do the following:
- Go to the Details page of your mailing.
- Type or paste your links (and any other text you'd like to include) in the box called "Note to Guests Above RSVP" for RSVP events, or called "Note to recipients on the next page" for Announcements and Save the Dates.
- Click the "Done" or "Save & Next" button to save your changes. You can preview how this appears using the Preview page.
Note: Remember to include the "http://" before the URL if it does not have "www." at the beginning of it, otherwise the system will not recognize it as a link.
