Formatting your spreadsheet

A template for the spreadsheet can be downloaded from your Address Book or from the Delivery page of your mailing and opened with Microsoft Excel. You may type or paste your contacts into the template, or you may just reformat an existing spreadsheet based on the template or example image.

There should only be three columns in your spreadsheet, with the headers:

Be sure that the header cells do not have any spaces and that the first letter of each word is capitalized.

Once you've typed in your contacts, the spreadsheet must be saved with the extension ".csv" (.txt, .xls, and .xlsx will not work). You can do this in Excel by going to Save As and selecting CSV, Comma Separated Values, or Comma Delimited from the "Format" drop-down menu:

Uploading your spreadsheet

To your Address Book:

  1. Navigate to the Paperless Post Address Book interface by clicking on "Address Book" in the Account menu at the top of your screen (if you're viewing your Address Book on the Delivery page of your mailing, click the white "Build Address Book" button on the right).
  2. At the top of the page, click "Add New Contacts."
  3. On the left side of the page, click "Add from spreadsheet."
  4. Click the "Choose File" button, navigate to where you saved your .CSV file, and click "Upload Spreadsheet." This will port the contents of the entire spreadsheet to your Address Book unless you are notified otherwise.

To your Guest/Recipient List:

  1. Navigate to the Delivery page of your mailing (from the Drafts folder of your Post Box, use the menu to the right of your mailing you wish to send out to choose "Go to Delivery." If this option isn't available, you must finish filling out the required information on the Details page - click "Edit the Details").
  2. On the left side of the page, click "Add from spreadsheet."
  3. Click the "Choose File" button, navigate to where you saved your .CSV file, and click "Upload Spreadsheet." This will port the contents of the entire spreadsheet to your Guest/Recipient List unless you are notified otherwise.

Couple/family names and salutations

To add a couple/family name to your spreadsheet, split the name up between the First and Last columns however you'd like. See image below for examples.

Duplicate or invalid email addresses

The site will automatically de-duplicate your spreadsheet. Any instances of repeat email addresses will be pulled out of the spreadsheet and you'll be asked to choose one to re-upload. Invalid email addresses (e.g., "robertfrost@gmail.cm") will also be pulled out of your spreadsheet and you'll be asked to edit them on the site and re-upload.


Mailings of over 1,000 guests or recipients

You cannot send to more than 1,000 email addresses at a time, so larger lists should be split up into .CSV files containing no more than 1,000 contacts per file. Once you've separated your contacts into separate files, do the following:

  1. Navigate to the Delivery page of your mailing (from the Drafts folder of your Post Box, use the menu to the right of your mailing you wish to send out to choose "Go to Delivery." If this option isn't available, you must finish filling out the required information on the Details page - click "Edit the Details").
  2. On the left side of the page, click "Add from spreadsheet."
  3. Click the "Choose File" button, navigate to where you saved your .CSV file, and click "Upload Spreadsheet." This will port the contents of the entire spreadsheet to your Guest or Recipient List unless you are notified otherwise.
  4. Click the "Send to All Guests/Recipients" button above the list.
  5. After the first batch has been successfully sent, navigate back to the Delivery page and repeat the above steps until you have uploaded and sent to all of your contacts.
